Privacy Policy

1. Scope

This policy describes information associated with the Mindsett Mental Health and Wellness website, scheduling inquiries, and related communications. Mindsett provides virtual mental health care for clients ages 5 and older in Virginia and Tennessee. Natalie Desseyn is the practice’s clinician.

This website Privacy Policy is separate from the practice’s HIPAA Notice of Privacy Practices, which addresses protected health information, its use and disclosure, and health privacy rights. This policy does not replace that notice.

2. Information collected

The website provides telephone and email contact links and links to an external scheduling and patient portal. It currently has no built-in inquiry or SMS consent form. If you call or email the practice, you provide the contact details and information included in that communication.

Information entered into linked scheduling or intake tools is collected through those services. The information requested depends on the form you use. The website itself does not currently contain insurance intake fields.

3. How information is used

Information you provide when contacting the practice is used to respond to your inquiry and assist with appointment requests. Scheduling and intake information supports the appointment process. The practice uses your contact information to respond to your questions and communicate with you about your appointment inquiry.

4. Service providers and information sharing

Render hosts and delivers the public website. Website images are delivered through external asset services. These providers receive technical information needed to respond to browser requests, such as an IP address and the requested resource.

Appointment and patient portal links open TherapyPortal, an external service. The website also links to Spruce for clinical messaging and Psychology Today for a virtual waiting room. When you enter information into those services, the relevant provider processes it to deliver the service you use. Review each provider’s privacy notice before submitting information.

5. Cookies and analytics

This website does not currently load Google Analytics 4. Website pages and images still require requests to the hosting and asset providers described above.

Linked scheduling, patient portal, messaging, and purchase services may use their own cookies or analytics when you visit them. Review their privacy notices. You can manage cookies through your browser settings; blocking cookies may affect those services.

6. Text-message privacy

For questions about text-message privacy or the use of your mobile phone number, contact info@mindsettmentalhealth.com or 540-530-4325. Ordinary text messaging is not a secure patient portal. Avoid including sensitive medical details in routine text messages.

7. Security

No website, email service, or electronic transmission can be guaranteed absolutely secure. Ordinary text messaging is not a secure patient portal. Please avoid sending sensitive medical details through general website inquiries, ordinary email, or routine text messages, and ask the practice which channel to use for clinical information.

8. Children and guardians

Mindsett serves clients ages 5 and older. A parent or authorized guardian should submit scheduling inquiries for a child and identify their relationship to the child. Please provide only information needed for the inquiry. The practice may need to confirm your authority before discussing a child’s care or information.

Do not include sensitive medical details in an ordinary email or text. The practice may need to verify your identity or authority before discussing someone’s information.
